What Jackrabbit Care gets right

Jackrabbit Care has a well-established track record in class-based activity businesses. Gymnastics studios, swim schools, dance programs, and martial arts centers use it for enrollment management, class scheduling, and payment collection. The platform handles class waitlists, family portals, and billing for session-based programs effectively.

The QuickBooks integration is a practical convenience for operators already using QuickBooks for accounting. Multi-location discounts make the pricing reasonable for organizations running several activity locations.

For an enrichment business or activity studio, Jackrabbit Care is a legitimate option.

Why class management software does not fit licensed childcare

Licensed childcare centers do not operate like gymnastics studios. The regulatory framework is different, the billing model is different, and the compliance documentation requirements are different.

A gymnastics studio tracks which children enrolled in which class session and collects payment per session or per month. A licensed childcare center tracks which children were present during each hour of each operating day, maintains documented evidence that staff-to-child ratios held throughout, and submits attendance records to subsidy agencies for reimbursement.

Jackrabbit’s enrollment model was built for the first scenario. It does not accommodate the second.

CCDF billing requires attendance-based tracking

When a childcare center bills a CCDF subsidy agency, payment is calculated by days of attendance — not by enrollment. The agency reimburses only for days the child was actually present. The billing submission must match attendance records that the agency can audit.

Jackrabbit tracks class enrollment. It does not track daily attendance by funding source or generate formatted submissions for state subsidy agencies. Directors trying to manage CCDF billing through Jackrabbit report maintaining separate spreadsheets for subsidy attendance — undercutting the purpose of using center management software.

Ratio compliance requires continuous monitoring

State licensing regulations specify required staff-to-child ratios for each age group. Those ratios must hold throughout the operating day, including during staff breaks, lunch coverage, and early departures. When a licensing officer audits your center, they expect to see documentation that ratios held during every period — not just at scheduled class start times.

Jackrabbit tracks attendance at the class enrollment level. It does not maintain the continuous ratio records that licensing audits require.

What happens during a licensing inspection

When a state licensing officer arrives at your center, they will ask for:

• Attendance records for a specific date range, by child
• Staff schedules and actual hours worked on those dates
• Documentation that ratios held throughout each day, including coverage transitions
• Subsidy billing records that reconcile against reimbursement payments
• Incident and medication administration records

Jackrabbit Care cannot produce most of this documentation. Directors using class management software in licensed settings report maintaining parallel paper binders for audit purposes — the same manual backup system that software is supposed to eliminate.
